Recruitment: Coal Logistics Assistant (02 Vacancies, Short-term in 9 months)

MAJOR RESPONSIBILITIES

Duties and responsibilities for this position include but are not limited to the following:

  • Customs Documentation & Import Clearance:

Manage the end-to-end customs documentation process for coal import shipments, including document preparation, review, customs declarations, coordination with customs brokers, suppliers, shipping companies, and other relevant parties, ensuring compliance with contractual requirements and Vietnamese customs regulations.

  • Freight, Tax & Service Payment:

Manage payment processes related to coal import shipments, including freight, import taxes (VAT and Environmental Protection Tax), draft survey fees, customs brokerage fees, and other related services. Verify invoices and supporting documents, coordinate with shipping companies, service providers, the Customs Broker, and the Accounting Department, and ensure timely and accurate payment in accordance with contractual terms and company procedures.

  • Letter of Credit (L/C) Preparation & Administration:

Manage the L/C process for coal procurement, including preparation, issuance, amendments, document review, and related supplier payment requests through the EAMS system, ensuring compliance with coal purchase contracts, company policies, and applicable banking requirements.

  • Shipping Documentation:

Prepare and administer shipping-related documents, including Letters of Indemnity (LOIs), Letters of Authority (LOAs), and other required documents. Coordinate with shipping companies and internal stakeholders to obtain necessary approvals and ensure timely issuance.

  • Laytime, Demurrage & Despatch:

Calculate vessel laytime and demurrage/despatch in accordance with applicable CTA/CSA terms and shipping documents, including SOFs, NORs, Time Sheets, and other supporting documents. Coordinate with relevant parties to clarify discrepancies and process settlement of demurrage/despatch claims.

  • Coal Quality Monitoring & Records:

Coordinate coal sample logistics with coal suppliers and the CEF Department, receive and manage coal quality samples, review Certificates of Analysis (COAs) against contractual specifications, maintain coal quality records, and coordinate with suppliers to resolve quality-related issues.

  • Market Index Monitoring & Reporting:

Monitor and maintain daily records of relevant market indices, including freight rate indices (BPI_P3A/Baltic), bunker indices (Platts), and coal price indices (NEWC/GlobalCoal and HBA/Indonesian Coal Reference Price). Prepare regular or ad-hoc reports and analysis as required.

  • Documentation, Reporting & Other Duties:

Maintain complete and accurate coal import, shipping, payment, L/C, customs, and operational records. Support reporting, audit, and compliance activities, ensure proper document filing and archiving, and perform other duties assigned by the GA&C Manager.

  • Other tasks as assigned.

 

EDUCATION, EXPERIENCE AND GENERAL REQUIREMENTS

  • 2 – 3 years vocational / technical school diploma or equivalent level of experience required.
  • Minimum 3 years of experiences in the related field, preferred in dry-bulk commodities (ideally coal supply/trading) and/or dry- bulk shipping (ideally within coal industry).
  • Knowledge of customs regulations will be a plus.
  • Computer skills: Microsoft Office (Word, Excel, Outlook, Power Point).
  • Able to work independently.
  • Ability and confidence to negotiate minor issues independently but always with knowledgeable and supportive reasons (problems solving).
  • Upper beginner level communication skills in the English language (written and verbal). Able to response using basic grammar & vocabularies.
