PRIMARY RESPONSIBILITIES
The Admin Assistant supports the GA & Contract Department in ensuring smooth daily operations by providing various general administrative support as below details:
Office General Support
- Provide general administrative support for daily office operations.
- Arrange vehicles and drivers for employees, visitors, and expatriates.
- Support business trip arrangements including travel booking, accommodation, transportation, and related logistics.
- Assist in welcoming guests, visitors, and business partners.
- Support meeting room preparation and office events when required.
Expatriates Support
- Support expatriates in administrative matters.
- Assist in preparing documents related to work permits, visas, temporary residence cards, and other legal procedures for expatriates.
- Coordinate with local authorities and government agencies regarding administrative and legal procedures.
- Follow up and track status of submitted documents to ensure timely completion.
- Maintain administrative records and filing system properly.
Payment & Financial Administrative Support
- Prepare administrative payment requests in accordance with company procedures.
- Coordinate with Finance/Accounting for payment processing related to administrative services.
- Collect invoices, contracts, and supporting documents for admin expenses.
- Monitor and record administrative costs when assigned.
Coordination & Communication
- Coordinate with internal departments for administrative support.
- Liaise with external service providers, vendors, and authorities.
- Support communication between expatriates and local staff when required.
- Ensure all administrative activities comply with company policies and local regulations.
Office Landscape Management
- Monitor office cleanliness, landscape, and office layout.

Other General Administration Duties
- Perform other general administration tasks assigned by the authorized person to support the daily operations of the GA & Contract Department.
- Perform other duties as assigned by the GA & Contract Manager.
EDUCATION, EXPERIENCE AND GENERAL REQUIREMENTS
- Bachelor’s degree in Business Administration, Office Administration, English, HR, or related fields.
- Minimum 2 – 5 years administrative experience. Experience in multinational or energy industrial environments is an advantage.
- Good command of English (speaking & writing).
- Proficient in MS Office applications (Word, Excel, PowerPoint, Outlook).
- Friendly and supportive. Strong interpersonal, teamwork, communication, and organizational skills.
- Ability to multitask, prioritize workload, and work under time pressure.
- Attention to detail, confidentiality, and compliance awareness.

- Professional, disciplined, trustworthy, and service minded.
- Proactive, solution-oriented, and willing to learn.
- Able to adapt to operational changes and diverse demands in a growing plant environment.
